Institution Contact Information part of the profile

Use the following information to help you gather the information needed in the Institution Contact Information part of the profile

Purpose

Institution Contact Information lets you enter the following information about your QuestionPoint institution:

  • E-mail address to which the global reference network sends messages indicating that reference questions, answers, or clarification requests are awaiting your institution's attention
  • Primary and secondary (backup) contact persons for QuestionPoint administrative issues
  • URL for your institution's home page
  • Library type or types that you consider your institution to be
  • Number of reference requests you expect to submit to the global reference network each week
  • Number of reference requests you agree to answer for the global reference network each week
  • Number of certified agents (i.e., staff) who will be available to submit and answer questions for the global reference network at any given time
  • Number of persons in each staff category that will participate in answering questions for the global reference network from time to time

Alert E-mail field

In this field, enter the e-mail address to which the global reference network should send messages indicating that reference questions, answers, or clarification requests are awaiting your attention. You may want to use this address only for global reference network messages and avoid using the address of a personal e-mail account. All your staff who provide service for the global reference network should be able to access the address so that question assignments are not delayed while a particular staff member is away.

Contact Method field

In this field's drop-down box, select the best method for the global reference network administrator to use to contact your primary contact about QuestionPoint administrative issues: phone, e-mail, fax, postal, or pager.

Primary Name field

In this field, enter the name of the primary contact for QuestionPoint administrative issues. Enter the name in this format: last name, first name (for example, Smith, John).

Primary Phone field

In this field, enter the primary contact's telephone number for voice communication. Include the 1-to-3-digit country calling code, city or area code, and specific telephone number. Do not enter leading zeros in the country calling code. The code for the United States and Canada is 1. Do not enter an extension with the specific number.

Primary Fax field

In this field, enter the primary contact's telephone number for receiving faxes. Include the 1-to-3-digit country calling code, city or area code, and specific telephone number. Do not enter leading zeros in the country calling code. The code for the United States and Canada is 1. Do not enter an extension with the specific number.

Secondary Name field

In this field, enter the name of the secondary (backup) contact for QuestionPoint administrative issues. This person is contacted only if the primary contact cannot be reached. Enter the name in this format: last name, first name (for example, Smith, John).

Secondary Phone field

In this field, enter the secondary contact's telephone number for voice communication. Include the 1-to-3-digit country calling code, city or area code, and specific telephone number. Do not enter leading zeros in the country calling code. The code for the United States and Canada is 1. Do not enter an extension with the specific number.

Secondary Fax field

In this field, enter the secondary contact's telephone number for receiving faxes. Include the 1-to-3-digit country calling code, city or area code, and specific telephone number. Do not enter leading zeros in the country calling code. The code for the United States and Canada is 1. Do not enter an extension with the specific number.

Home Page URL field

In this field, enter the web address of your institution's home page.

Library Type(s) field

In this field, check as many of the boxes as necessary to indicate the library type or types that you consider your institution to be.

Questions Submitted per Week field

In this field, enter the number of reference requests you expect to submit to the global reference network each week. Currently, most organizations enter 10.

Questions Processed per Week field

In this field, enter the number of reference requests you agree to answer for the global reference network each week. Currently, most organizations enter 10.

Agent Quota field

In this field, enter the number of certified agents (i.e., staff) at your organization who will be available to submit and answer questions for the global reference network at any given time.

Staff Answering Questions fields

In these fields, enter the total number of staff in each category that will participate in answering questions for the global reference network from time to time.
