KB browse criteria

When you browse KBs, you select values for the criteria described below. You find only those records that match the selected values.

The default value for each criterion is "All." If you accept the default value for every one, you find all the KB records available to you, which may be thousands of records. When you select other values for one or more criteria, you limit the number of records that you find.

KB browse criteria:

Folder

The Folder criterion lets you find KB records that have a particular status or that you added to a KB. The available values differ for librarians and KB editors.

Librarian

If you have View or Add/Submit privileges for a KB, the following values are available for the Folder criterion:

Value Description
All (default) Finds records that have Active or Inactive status
Inactive Finds records not yet activated by an editor. They have not been indexed and are not searchable.
Active Finds records activated by an editor. They are indexed and searchable 24 hours after they are activated or updated.
Submitted by Me Finds records added to the KB by you, regardless of their status

KB editor

If you have Edit or Edit/Delete KB privileges for a KB, the following values are available for the Folder criterion:

Value Description
All (default) Finds records that have Active, Inactive, Review, or Delete Pending status
Inactive Finds records not yet activated by an editor. They have not been indexed and are not searchable.
Active Finds records activated by an editor. They are indexed and searchable 24 hours after they are activated or updated.
Submitted by Me Finds records added to the KB by you, regardless of their status
Delete Pending Finds records that a KB editor has marked for removal (by clicking the Delete button). Only a KB editor with Edit/Delete KB privileges may remove these records (by clicking the Purge button).
Review Finds inactive records that have been marked for review by a KB editor.
Update Required Finds records that contain a required update date. Required Update Date field
With Addenda Finds records that contain addenda. Addenda field
With Partial Addendum Finds records that contain partial addenda. Partial Addenda field
Currently Locked by Me Finds locked records that QuestionPoint locked when you began to edit or update them. You may need to take action on them or unlock them. (QuestionPoint automatically unlocks any record that has been locked for 48 hours.)

Other KB browse criteria

The following KB browse criteria are available to you in addition to Folder:

Criterion Description
Knowledge Base Check the box for each KB in which you want to find records. If no KBs are checked, QuestionPoint finds records in all available KBs.
Category Select All (default) to find records regardless of the Category field. Select a particular value to find only records with that category.

All is the recommended value because the Category field is a relatively new field. Category field

Subject Select All (default) to find records regardless of the Subject field. Select a particular value to find only records in that subject area. Subject field
Subject Broad Class If you select All (default) for Subject, you must select All (default) for Subject Broad Class.

If you select a particular value for Subject, you may select All or a particular value for Subject Broad Class. Select All to find records regardless of subject broad class. Select a particular value to find only records in that subject broad class. Subject field

Language of Question Select All (default) to find records regardless of the Language of Question field. Select a particular value to find only records with that language. Language of Question field
Format Select No Special Format (default) to find records regardless of the Format field. Select a particular value to find only records with that format. Format field
Geographic Code Select All (default) to find records regardless of the Geographic Code field. Select a particular value to find only records with that code. Geographic Code field
Requesting Institution Select All (default) to find records regardless of the Requesting Institution field. Select a particular value to find only records with that requesting institution. Requesting Institution field
Responding Institution Select All (default) to find records regardless of the Responding Institution field. Select a particular value to find only records with that responding institution. Responding Institution field

The Date Range criterion lets you select the type of date and the particular dates used to browse. Dates and date types


Dates and date types

You use date-type buttons and date boxes to select values for the Date Range criterion.

Date-type buttons

The button that you select specifies both the type of date used to find records and the date displayed in the Date column of the browse results.

  • Click the Submitted button (default) to specify the date in the Submitted to Knowledge Base On field. Submitted to Knowledge Base On field
  • Click the Answered button to specify the date in the Answer Date field. (Records that have no Answer Date are not found.) Answer Date field
  • Click the Modified button to specify the date in the Last Update field. Last Update field
  • Click the Update Required button to specify the date in the Required Update Date field. Required Update Date field

Date boxes

Enter dates in mm/dd/yyyy format. You can type a date or click Show calendar and then select the date in the pop-up calendar box.

  • Enter no dates (default) to find records regardless of date.
  • Enter the same date in both boxes to find records with that date.
  • Enter a date in the Between box to find records with that date or a later date.
  • Enter a date in the And box to find records with that date or an earlier date.
  • Enter a date in the Between box and a later date in the And box to find records with dates between the two dates.
