Account privileges and permissions

The institution administrator creates and manages the QuestionPoint librarian accounts used by the institution's staff. The privileges (abilities) that the administrator assigns to an account determine which QuestionPoint modules an account may use and which tasks it may perform in a module.

Privileges that an institution administrator may assign

For each module, the institution administrator may assign to a librarian account any privilege equal to or lower than the privilege assigned to the administrator's account. The group administrator assigns the privileges to the institution administrator for the Profile module and for the group's Knowledge Base. The global reference network administrator assigns the privilege to the institution administrator for the global Knowledge Base.

Determine what privileges an institution administrator may assign

If you are an institution administrator, use the following procedure to determine what privileges you may assign to librarian accounts for your institution:

  Action Result or Note
1 Log on to QuestionPoint using your institution administrator authorization number.  
2 If the Administration module is not displayed, click Administration at the top of the screen. The system displays the Institution Administration Home part of the Administration module.
3 Click the Accounts link below the Institution tab. The system displays the Create New Librarian Account screen.
4 View the privileges that you may assign to librarian accounts for your institution.  

Default privileges assigned to most institution administrators

The following table shows the default privilege assigned to most institution administrators for each module. It also shows the other privileges that might be assigned to an institution administrator.

Profile Edit Profile Approve Profile: For profiles submitted to the local/regional group, the local/regional group administrator may assign the Approve Profile privilege instead.

Knowledge Base for your local/regional group Add/Submit View KB, Edit KB or Edit/Delete KB: For the local/regional Knowledge Base, the local/regional group administrator may assign the View KB, Edit KB or Edit/Delete KB privilege instead.
Knowledge Base for the global reference network Add/Submit Edit KB or Edit/Delete KB: For the global Knowledge Base, the global reference network administrator may assign the Edit KB or Edit/Delete KB privilege instead.

All privileges for each QuestionPoint module

For each QuestionPoint module, the following table lists and describes all privileges from lowest to highest abilities.

For each module, the institution administrator may assign to a librarian account any privilege equal to or lower than the privilege assigned to the administrator's account.

Institution Report in Home None Cannot view the Institution Report

Note: This is the setting for institution and group administrators. They can view this report in the Administration module.

Edit Profile Edit, submit and view own institution's profile only
Approve Profile Approve, change the status of, edit, submit and view own institution's profile only
Ask A Librarian None Cannot use the module
Ask Librarian Answer questions, refer questions to other institutions, create scripted answers for own use
Ask Administrator Assign questions to other accounts in own institution, create scripted answers for use by all accounts in own institution; plus all the abilities of the Ask Librarian privilege
Knowledge Base for your local/regional group View KB View and search the local KB for questions and answers that have been processed and activated by a KB editor
Add/Submit Submit questions and answers for inclusion in the local KB; view and search the local KB for questions and answers that have been processed and activated by a KB editor
Edit KB Process and activate questions and answers submitted for inclusion in the local KB; view and search the local KB for questions and answers of all statuses, including searching by Question ID; submit questions and answers for inclusion in the local KB
