View KB record detail

The following information describes the Record Detail page, which displays all the available information about a KB record.

Navigation and print links

The top and bottom of the Record Detail page include:

  • The record's position in a list of records (Example: Record 11 of 14)
  • Links for navigating the search or browse results in which the record is listed
  • A link to a printer-friendly version of the record

The links appear to all librarians regardless of their KB privileges.

Forward Answer Any KB privileges Click this button to edit the record's answer and send it to the patron or to the patron and others as the answer to a question. This method does not let you add scripts, attach files, or save the answer as a draft. Forward a KB answer

This button appears only when you search KBs from the Answer Question page in the Ask a Librarian module. Search KBs for an answer

Copy Answer Any KB privileges Click this button to copy the record's answer to your current answer box on the Answer Question page. This method lets you edit the answer, add scripts, attach files, or save the answer as a draft before you send it. Copy a KB answer

This button appears only when you search KBs from the Answer Question page in the Ask a Librarian module. Search KBs for an answer

Cancel Any KB privileges Click this button to return to the Answer Question page without using the record's answer as the answer to a question.

This button appears only when you search KBs from the Answer Question page in the Ask a Librarian module. Search KBs for an answer

Submit to Global KB Add/Submit

Click this button to add to the Global KB a record that is a copy of the local KB record that you are viewing. Add Global KB record from local record

This button appears only when you view a local KB record that has not been added to the Global KB and you have the needed KB privileges.

Edit Edit

Click this button to edit an inactive KB record.

This button appears when you view an inactive record and you have the needed KB privileges. This button also appears if you have Add/Submit KB privileges and you are viewing an inactive record that you added.

Update Edit
Edit/Delete
Click this button to change an active KB record.

This button appears when you view an active record and you have the needed KB privileges. This button also appears if you have Add/Submit KB privileges and you are viewing an active record that you added.

Unlock Edit
Edit/Delete
Click this button to unlock a KB record that you were editing or updating. (QuestionPoint automatically unlocks any record that has been locked for 48 hours.)

This button appears only when you view a record that you locked.

Delete Edit
Edit/Delete
Click this button to change a KB record's status to Delete Pending.

This button appears only when you have the needed KB privileges.

Undo Delete Edit
Edit/Delete
Click this button to change a KB record's status from Delete Pending to its previous status.

This button appears only when you view a record that has Delete Pending status and you have the needed KB privileges.

Purge Edit/Delete Click this button to permanently remove a record that has Delete Pending status.

This button appears only when you view a record that has Delete Pending status and you have the needed KB privileges.

Header fields and links

The Record Detail page includes a record header that contains data fields and links.

The fields and links appear to all librarians regardless of their KB privileges.

Record ID field Any KB privileges Identification number of the KB record.
Q&A ID field Any KB privileges Identification number of the question in the Ask a Librarian module on which the KB record is based.

This field appears only if the record was added from a question in the Ask a Librarian module.

Question Detail link Any KB privileges Click this link to view (in a separate window) a printer-friendly version of the question in the Ask a Librarian module from which the KB record was added.

This link appears only if the record is based on a question to which you have access.

Submitted to Knowledge Base On field Any KB privileges Date on which the record was added to the KB.
Last Update field Any KB privileges Date on which the record was last updated (added, changed, activated, updated, or deleted).
Forwarded/Copied field Any KB privileges The number of times the record has been forwarded or copied to answer a question. Search KBs for an answer

This link appears only if you have access to other KB records that were added from the same question in the Ask a Librarian module or from the same KB record.

Question fields

The Record Detail page includes a Question field and related fields. Some fields are optional and may be empty.

The fields displayed depend on your KB privileges. (Fields displayed only to KB editors with Edit and Edit/Delete KB privileges are also displayed if you have Add/Submit KB privileges and you are viewing a record that you added.)

  • Adult/Life Long Learner (default)
  • Primary/Elementary
  • Secondary
  • Undergraduate/VoTech
  • Master/Ph.D
Keywords field Any KB privileges Keywords or phrases that describe the question or answer; the recommended order of entry is most important first; individual keywords or phrases are separated with commas (,). QuestionPoint does not require the use of any specific controlled vocabulary.
Category field Any KB privileges Category assigned to the KB record; selected from these options:
  • None (default)
  • Bibliography/Pathfinder
  • Community Information
  • FAQ
  • Ready Reference
  • Research

This field is not displayed if "None" was selected.

Date Requested field Edit

Date on which the question was submitted by the patron; entered in mm/dd/yyyy format
Subject field Any KB privileges

The Subject field may contain Subject Areas and Subject Broad Classes.

Subject Area: General subject of the question.

Subject Broad Class: Specific subject of the question (a subclass of the subject area).

Subject Areas and Subject Broad Classes are selected from lists based on the Library of Congress Classification. Map LC (LCC) to Dewey (DDC) Classification

Geographic Code field Any KB privileges Geographic location that is a subject of the question; selected from a list of locations based on the MARC Code List for Geographic Areas (GAC)
Reason field Any KB privileges Reason that the question was asked; selected from these options:
  • Other (default)
  • None
  • Educational Assignment
  • Classroom Instruction
  • General Interest
  • Job Assignment
Language of Question field Any KB privileges Language in which the question was asked
Sources Checked field Any KB privileges Sources that were consulted for an answer but did not contain information used in the answer; individual sources are separated by semicolons (;)

The Record Detail page includes an Answer field and related fields. Some fields are optional and may be empty.

  • Title; journal title if the source is a journal article
  • Article title, if the source is a journal article
  • Author
  • Publisher
  • Place Published
  • Date Published
  • Volume/Issue, if the source is a journal article
  • ISSN: International Standard Serial Number of the journal, if the source is a journal article
  • ISBN: International Standard Book Number, if the source is a book
  • Alternate ID (unique ID for music, videos, etc.)
  • Edition
  • Pages, if the source is a journal article
  • Series Title and Number
  • Sponsoring Body

These include all fields that are required for any ILL request.

Required Update Date field Edit

Date on which the record should be examined by a KB editor because it contains time-sensitive information; entered in mm/dd/yyyy format. KB editors can browse records that have required update dates if they select Update Required as the Folder browse criteria.
Answer Date field Any KB privileges Date on which the answer was sent to the patron; entered in mm/dd/yyyy format.

Records added to a KB from an entry form may not have an answer date.

Format field Any KB privileges Special materials format in which all or part of the answer was sent; selected from these options:
  • No Special Format (default)
  • Art Work
  • Book
  • Braille
  • Computer File
  • Globe
  • Large print
  • Manuscript
  • Map
  • Microform
  • Motion Picture
  • Music
  • Newspaper or Magazine
  • Picture

Language of Answer field Any KB privileges Language in which the answer was sent
Public Access field Any KB privileges Indicates whether patrons may access the record: Yes or No. KB editors can change this value as needed. Public access to KBs
Current Record Status field Edit

Status of the record:
(Only active records are available through searching; active and inactive records are available to librarians through browsing; all records are available to KB editors through browsing)

Active: Searchable.
Inactive: Not searchable.
Review: Not searchable; marked for review by a KB editor.
Delete Pending: Not searchable; marked for removal (purge) by a KB editor with Edit/Delete privileges.

Additional Information: Addenda and Editor Notes

The Record Detail page may include an Additional Information area containing Addenda and Editor Notes. KB editors may add Addenda to supplement or update the answer in an active record, instead of, or in addition to, changing the Answer field. They add Editor Notes to describe the changes that they make to a record. Editor Notes are required when an editor updates an active record and optional when an editor edits an inactive record. QuestionPoint automatically adds the date and time to Editor Notes and lists the fields in an active record that an editor changes.

The fields displayed depend on your KB privileges.

Field Privileges Needed Description
Addenda field Any KB privileges Information that supplements or updates the answer in a record. The information has been added, assigned Complete status by an editor, and indexed by QuestionPoint. It cannot be changed, but an editor can add another addendum to update it.
Editor Notes Any KB privileges Information that an editor adds to describe his or her changes to a record and that QuestionPoint adds to list the fields in an active record that an editor changed.
Pending Addenda field Edit
Edit/Delete
Information that supplements or updates the answer in a record. The information has been added and assigned Complete status by an editor but not yet indexed by QuestionPoint. It is indexed and moved to the Addenda field within 24 hours after it is assigned Complete status. It can be changed by an editor until it is indexed.
Partial Addenda field Edit
Edit/Delete
Draft information intended to supplement or update the answer in a record. It has been added and assigned Partial status by an editor. It is moved to the Pending Addenda field when it is finished and assigned Complete status by an editor.

Other Copies of This Question links

The Record Detail page may include links to other KB records that are based on the same question in the Ask a Librarian module or based on the same KB record. These links appear only if there are such records and you have access to the KB in which they are located.
